Morning — Alba pings you

When something hits critical, Alba sends a short proposal on your preferred channel (WhatsApp by default, with email in parallel). You see it on your phone before service. The portal home also shows a loud yellow banner if you have anything pending.

Read a proposal in 30 seconds

Three options stacked. For each one: total bottles + dollar value + a tiny strategy label (“Critical only”, “Critical + Priority 1”, “Wider top-up”). The recommended one is marked. Tap an option to see the per-item breakdown with the reason chip beside each wine.

Confirm — A, B, C, or postpone

Tap Confirm Option B in the portal, or reply Bon WhatsApp. Alba builds the order to your rep and sends it (email + WhatsApp). If you're not ready, Postpone for a few days — Alba checks back later.Skipif you don't want to order this cycle. New proposal for the same supplier waits until the cutoff passes.

Delivery day — confirm it arrived

Alba pings on the expected delivery date: “did the order arrive?”. Tap Yes, received and your inventory is updated automatically with the line-item bottle counts. Tap Not yetand Alba waits a day, then asks again. If something is wrong with the delivery (missing bottles, wrong items), call your rep directly — Alba doesn't mediate disputes.

Manual stock adjustment

Bottle dropped on the floor? Glass comped to a regular? Physical count off by a few? Open the beverage detail page → Adjust stock. Two modes: Add / remove for a delta ("-2 for breakage"), Set exact count for physical inventory. Pick a reason, optionally note. Every adjustment lands in the History timeline with who, when, why.

Ask Alba anything

Tap Ask Albaat the bottom-right of any page. The AI knows your stock, prices, recent sales, distributor offers, and general wine knowledge. Examples: “what's critical right now?”, “which Italian whites am I under-represented on?”, “suggest five wines for a spring by-the-glass list”, “is the 2018 Brunello a good vintage?”.

Weekly — check insights

Once a week (Monday morning is a good rhythm) open Insights. Top KPIs: acceptance rate, your reply time, stockouts prevented. Below: revenue trend, day-of-week pattern, expected stockouts in the next few days. Use it to spot trends before they become problems — slow movers, distributor reliability issues, by-the-glass margin shifts.

When something goes sideways

Three escalation paths:
  • Bug or weird behaviour? Tap Ask Alba — many things resolve in seconds. If not, email us from the link in any transactional email.
  • Delivery dispute?Call your rep directly. Alba doesn't mediate.
  • Need to change something fast (par, reorder, distributor calendar)? Edit it yourself — every input is in the manager portal. No SQL, no support call, no waiting.

Three habits worth forming.

  • 1.Check the portal in the morning — even if you don't have a pending proposal, the dashboard tells you in 5 seconds where you stand.
  • 2. Mark deliveries received the day they arrive. Stock stays accurate; insights stay honest.
  • 3.Ask Alba weird questions — it's the best way to find what's in your data that you didn't notice.
